This article is for non-MIS Platinum customers and covers how to use the End of Year Process Wizard. MIS Platinum users do not need to run this process - the new academic year will be set up automatically.
The Carousel End of Year Process Wizard is a tool that will help you draw a line under the last academic year in Carousel, and also allow you to roll over classes into the new year. You must complete this process before you can use Carousel in a new academic year.
The wizard need only be completed once, and after it has been completed it will disappear (as wizards do!)
The Wizard will ask you a series of questions about what you want to do with each year group in the school: will they be staying where they are, moving up a year, or leaving the school. It is important to remember that you will be asked first what to do about STUDENTS and then about CLASSES (which, while similar, are not the same thing!)
The first step in the process looks like this:
You can also use the Wizard to rename classes that begin with their year group, by increasing that number by 1, so 8/SC1 will become 9/SC1. (You'll be asked a separate question about this.)
Once you've been through the steps you are able to review a summary of your answers as in the example below:
If your class names don't include the year at the beginning, you can decline the option to update them through the Wizard and rename them manually in the Students tab, after you have completed the End of Year process, as shown in the screenshot below:
Once the Wizard has been completed, you will need to upload any newly starting students, and manually delete any individual students who have left over the summer. You should also review the teachers in the system and make changes as required. This support article describes how to add a teacher.
Tips and tricks
- Keep an eye out for any new incoming pupils who may share a first and last name with an existing pupil – you will need to change their name (e.g. by adding a digit to the surname) so that all pupils have unique names.
- Make sure you use the most up-to-date version of our student upload template when uploading. It is regularly updated and includes conditional formatting to make the process as smooth as possible. The latest version can be found on this knowledge base article.
